As the Law Practice Manager for
access law, Solicitors, Gordon L. Hewstone is responsible for (amongst other things) making life easier - and cheaper! - for the firm. Working in close co-ordination with Wendy Hewstone (his wife and Managing Partner in the firm) he has developed a number of simple and innovative solutions using widely available word processing and spreadsheet programs. Now it is possible for other legal professionals to also benefit from this work.

Mediation Case Management Package [level 2]
A package of documents and spreadsheets designed to provide a simple case management system for Mediators. This package was developed in consultation with a local firm of mediators and can be customised to your specific requirements. Briefly, the package consists of:-
Client Database - set up for data from both client parties in the case
Time Recording - to record total session minutes for each client plus the number of mediation sessions. Linked to the client database so that this information is also displayed there.
Eligibility Calculator - similar to the Legal Aid Eligibility Calculator but set up specifically for mediation cases and linked to the CLS MEANS7 for so that relevant items populate the form at the same time as indicating the client's eligibility for mediation under Legal Aid
CLS MEANS7 - a full online version of this form in WORD plus self-adding pages in EXCEL
CLS APP7 - a full online version of this form in WORD
Invoice Suite - a collection of standard invoices for use with either headed notepaper or designed to print your letterhead on blank paper and providing standardised invoices for mediation sessions. This EXCEL package automatically calculates VAT for any net amount and includes a facility to back-calculate the VAT and Net amounts from any given Gross figure
Intake Form - an online data-gathering form for use in taking initial client information. This data then populates into CLS MEANS7 and CLS APP7 forms for each client party.
Other forms, documents or spreadsheets can also be created as required.

Legal Aid Eligibility Calculator [level 3]
A simple EXCEL-based package which calculates a client's eligibility for Legal Help, full certificated funding (including any likely contribution) and family mediation. By entering basic details of the client's income and expenses, relevant benefits, etc on just one panel the eligibility all three types of funding is flagged up on separate pages which can be printed and kept on file. Cost Draftsman's Bill Paper Suite [level 5]
Developed in association with a local Law Costs Draftsman, this EXCEL-based package allows self-adding bills to be created with correct layout and itemisation of costs incurred etc. The Bill Paper Suite comes with complete instructions and includes a VAT calculator and a calculator to quickly convert time spent at any chosen charging rate into total costs. [As the suite is designed to produced "red-lined" bill paper, a colour printer is required].

Self-calculating Solicitor's Bills of Costs [level 1]
This is an EXCEL-based suite of self-calculating bills and completion statements for use in Solicitor's firms. Each bill in the suite correctly calculates VAT (if and when required) and produces a total. There is also a "back-calculating" bill enabling a total to be correctly broken into costs and VAT. The package also includes a number of conveyancing Completion Statements. The suite can be customised to print on pre-printed headed paper or (depending on your requirements) it may be possible to generate your headed paper in the printing process, saving the cost of pre-printed stationery. Headed Paper [level 1]
Save the costs of buying pre-printed headed paper by printing your headings on blank paper. Particularly with the falling costs of colour laser printers, producing professional headed paper is a viable alternative to paying a stationer (and remembering to re-order and have him change the details of partners etc.). Our headed paper can be created to most simple requirements and comes complete with headed "continuation sheets" which automatically generate when required and address boxes positioned for standard window envelopes. Once bought, you will be able to alter the template yourself whenever the need arises.

Client Database and Timecosts [level 9]
For any small law firm needing a simple no-nonsense client database and timecosts package, this set of two linked EXCEL-based programs may be the answer. The Client Database is used to record all basic client data and will also display file closure archive references. The Timecosts program uses the client reference number to generate the client name from the Client Database and multiplies the number of recorded units by any one of a number of chosen rates to give costs. Individual client or fee earner printouts can be generated, rates can be altered as required and costs limit warnings set when needed.

Statistics Packages [level 2-4]
Over the years we have developed a number of simple stats packages, mainly in response to LSC requirements. These include:-
Timecosts Analysis - comparing recorded timecosts with actual amount billed (including adjustment for VAT).
LSC Bill Stats - enabling analysis of LSC bills by Case Type, and whether Legal Help or Certificate.
LSC Case Starts - simply enter the number of case starts and tolerances you have been granted and then record the number used up each month. This package will tell you the average number of starts per month, how many more you have left and give a breakdown of tolerance case types.
Costs Analysis - provides a breakdown of costs by fee earner, by case type and by funding.
File Review Stats - using a standard file review sheet, this package enables recording of file review results by fee earner, error type, case type and also gives an overall analysis.

Legal Documents [level 2]
Most of our legal forms and documents at access law are developed in-house using WORD and EXCEL, including:-
HM Land Registry forms;
LSC and CDS forms (including self adding when needed);
Conveyancing forms;
HIPS forms
Family forms (eg. self-adding Form E (see below), Forms H and H1); and
a large number of Court Forms.
We also produce a large range of standard pro-forma letters and documents such as wills and statements etc. Whilst copyright restrictions prevent the direct sale of many of these in-house documents, G. L. Hewstone is available on a consultancy basis to assist firms develop their own in-house versions, customised to their own needs. Such development assistance is priced on a per-form basis and there is an optional annual retention fee which ensures further assistance should the form require alteration during the period covered by the retention fee. The Form E
As anyone who has had to fill out a Form E Financial Statement will no doubt certify, completion of this form can be something of an ordeal. My EXCEL-based version is available with the following features:-
- it is set up so that either blank hard copies may be printed (eg to be handed to Clients or for completion by hand) or it may be completed on-screen and saved at any stage;
- fully self-calculating and automated so that, for example, completion of the front page also completes the cover sheet and attestation pages;
- includes a navigation bar for quick movement between the major sections;
- to take account of the fact that many clients may have, for example, more than one pension scheme I have included additional duplicate pages for these items which automatically feed into the final calculations.
If purchased separately, the Form E is available for £50.00 for unlimited use

Training [level 1]
Basic Training Packages are available on EXCEL and on using Outlook as a Case Management tool. Other packages may be devised on request. Training may be given in person in the Southampton area only or the training notes are available by post or email.

Websites [level 7]
...And in case you hadn't noticed I also produce simple websites, like this... nothing too fancy (no point creating a legal website that looks like an explosion in a paint factory). Take a look at this page and the

I can create pages like this, complete with Meta Tags of keywords etc. to help Search Engines find you for a much cheaper price than the "professionals" and when I'm finished, because it will be in WORD, you'll be able to update and maintain it yourself with a minimum of effort.Price *: £100.00 per page

As a one-man show I am unable to offer comprehensive after-sales advice and support although detailed instructions will be provided. A certain level of familiarity with EXCEL and WORD is essential for some of these programs. The programs are graded according to the level of knowledge you will need in WORD or EXCEL (mainly EXCEL) to use these programs,
Level 1 being the lowest where simple typing skills and a couple of hours practice will suffice to Level 10 where considerable detailed knowledge is needed in order to operate the program with confidence.
